TOWNCALL LLC ("TownCall," "we," "us," or "our") operates the towncall.ai website and the FirstBack missed call recovery platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our services.

2. Information We Collect

We collect the following categories of information:

  • Contact information: name, email address, phone number, and business name provided when you sign up or contact us.
  • Call and SMS data: phone numbers of incoming callers who reach your business line, SMS message content exchanged through the FirstBack platform, timestamps, and delivery status.
  • Appointment and scheduling data: job details, service requests, appointment times, and customer notes collected during AI-assisted conversations.
  • Billing information: payment card details and billing address processed securely through Stripe. We do not store full card numbers on our servers.
  • Usage data: IP address, browser type, device information, pages visited, and interactions with our website collected automatically through standard web technologies.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the FirstBack platform and related services.
  • Send automated SMS messages to callers on behalf of our business customers when a call goes unanswered.
  • Facilitate AI-powered conversations for appointment scheduling and lead qualification.
  • Process payments and manage billing.
  • Send service-related communications, performance reports, and account notifications.
  • Improve and optimize our platform and user experience.
  • Comply with legal obligations and enforce our terms.

4. SMS Messaging Consent and Opt-Out

SMS communications through the FirstBack platform are initiated only when a consumer calls our customer's business number and the call goes unanswered. By calling a business that uses TownCall, the caller may receive an automated text message in response to their missed call.

Opt-out: Recipients may opt out of SMS messages at any time by replying STOP to any message received from the platform. Once opted out, no further messages will be sent to that number unless the recipient re-initiates contact.

Message frequency: Message frequency varies based on call activity. Standard message and data rates may apply depending on your mobile carrier and plan.

We do not sell, rent, or share phone numbers or SMS data with third parties for marketing purposes. SMS data is used solely for the purpose of providing the FirstBack service.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Specifically:

  • Account and billing data is retained for the duration of your subscription and for up to 12 months after cancellation for record-keeping and legal compliance.
  • Call and SMS conversation data is retained for up to 90 days after the last interaction, unless a longer retention period is required by law or requested by the business customer.
  • Appointment and lead data is retained for the duration of the business customer's subscription.

You may request deletion of your data at any time by contacting us at blake@towncall.ai. We will process deletion requests within 30 days, subject to legal retention requirements.

6. Third-Party Services

We use the following third-party services to operate our platform. Each has its own privacy policy governing data use:

  • Twilio - SMS delivery and phone number management.
  • Stripe - Payment processing and subscription billing.
  • Supabase - Database hosting and authentication.
  • Anthropic (Claude API) - AI conversation processing.
  • Resend - Transactional email delivery.
  • Vercel - Website and application hosting.

We do not sell your personal information to third parties. We share data with the services listed above only as necessary to operate the platform.

7. Data Security

We implement industry-standard security measures to protect your information, including encrypted data transmission (TLS), secure database access controls, row-level security policies, and environment-level secret management. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

9. TownCall as Data Processor

TownCall operates as a data processor on behalf of its business customers (contractors and home service businesses) with respect to end consumer data. When a homeowner or consumer contacts a TownCall customer's business and receives an automated SMS response through the FirstBack platform, TownCall processes that consumer's phone number and conversation data solely on behalf of and under the instruction of the business customer. The business customer is the data controller responsible for their customers' data. TownCall does not independently control or determine the purposes for which end consumer data is processed. If you are an end consumer with questions about how your data is used by a specific business, please contact that business directly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. Continued use of our services after changes constitutes acceptance of the updated policy.
